Software Licensing @ ECU for Staff
As part of our commitment to being able to provide the most value to the University's Computing environment, IT Support Services (ITSS) negotiates licensing for commonly used applications to help reduce the overall cost of computing to faculties and service centers.
Active License Agreements
The following table consists of the software vendors with whom ECU currently has license agreements.
That is, if a staff member/Faculty/Business Unit decides that they need a piece of software [that is not part of their machine’s ECU image] then they may request to have any of the following options implemented on their computer.
You will be required to purchase this software (our preferred supplier is Corporate Express: (08) 9365-5105 or
angi.milos@ce.com.au) and keep the proof of purchase documentation to enable compliance with its installation.
The University stores the site license agreement for this application. That qualifies as proof of purchase within ITSS. You will NOT be required to purchase this software or keep proof of purchase for its installation.
As a decentralised purchased piece of software it is expected that the Faculty/Business Unit that purchased the software will be responsible for the storage of the media associated with it.
As a centrally purchased piece of Software the main components of the media associated with this software is stored by ITSS.
The Faculty's Office Administrator or Purchasing Officer associated with the purchase of this software will be responsible for updating the Sharepoint portal with the necessary information to ensure that the DSL is up to date for their respective Faculty/Business Unit for auditing purposes.
The IT Service Desk is responsible for the deployment of this software [online] so ITSS will be responsible for the data maintenance of the DSL associated for this software in Sharepoint for auditing purposes.
The IT Service Desk is responsible for the deployment of this software (via ManageSoft) and may be contacted on ext 6000.
This software may either be deployed via ManageSoft or manually installed by a CSO. Please contact the IT Service Desk on ext 6000 for further details.

Purchased by your Faculty/Business Unit. The University has NO agreement in place with this particular vendor and it is purchased on a case by case basis.
The University has already purchased a Site License and this product may be made available to your Faculty/Business Unit at no extra cost.
This refers to the nature of software purchase. The software may have already been purchased and available to you under a particular type of license OR the software may need to be purchased by you (Faculty/Business Unit)and matters related to licensing and distribution dealt with accordingly.
This refers to the actual physical storage of the software itself, which could either be in soft or hard format.
DSL (Definitive Software Library) Update on Sharepoint: The option refers to whether the DSL [which is kept on Sharepoint] needs to be updated by IT Support Services or by your Faculty/Business Unit]. In most cases you will be responsible for this. If it is the case that ITSS is responsible then you will need to contact the IT Service Desk and advise them that you wish to ”update the DSL in Sharepoint.” It is very important that this information be managed appropriately as it may be subject to audit.
This refers to the installation of the software. The IT Service Desk is responsible for the deployment and installation of software (via ManageSoft). So, no physical media (such as a CD) to install the software is needed; as it is done remotely. In other cases, the Purchasing Officer may contact the IT Service Desk and arrange for a Customer Support Officer (CSO) to assist with the installation.
This refers to whether you are able to install the proposed software on your home computer. Each software license is different and compliance with these obligations is necessary to ensure that your Faculty/Business Unit are not in breach of the software’s terms and conditions.
CHUL refers to the Consolidated Home Use Licensing agreement. This is an agreement that has been specifically negotiated between Microsoft and ECU. IMPORTANT: There is a standard CHUL and there is also another agreement that specifically refers to home use of Microsoft software products - It is commonly referred to as the MS CAUDIT Home Use Licensing Agreement.
For Staff: For each of the products listed in the ‘License Matrix’ that have available the option for CHUL then they can run one copy of the products on a home PC that they own or lease for work related purposes only. The software must be deleted from the home computer immediately once a staff member ceases to be an employee of the University.
For Students: The MS CAUDIT Home Use Licensing Agreement does not extend to Students. However, Students are entitled to purchase Microsoft Software at reduced rates through the ECU Bookshop.
This refers to whether you are able to install the proposed software on your home computer. Each software license is different and compliance with these obligations is necessary to ensure that your Faculty/Business Unit are not in breach of the software’s terms and conditions.
A type of software licensing agreement that grants ECU permission to use the software on a network on a single site with an unlimited number of end users. Usually this type of license allows you to copy and use the software on multiple computers at one site [namely, ECU]. Please note that in some cases there may be a maximum specified number of simultaneous end users. Example: For SPSS v14 ECU has negotiated with SPSS Australia to use its product under a Site License agreement.
This type of license permits the licensee to use the software only on a single computer. In some instances, the licensee is prohibited from putting the software on a network even if it is to be used by only one machine. Single User or Stand Alone licenses are often "shrink wrapped" with the individual copy of the program. The license agreement usually contains a sentence that states, “breaking the seal of the disk package indicates your acceptance of these terms and conditions".
Home Use: Depending on the license agreement, you may be extended the privilege of
using this application on a personal computer at home.

Access to the ITSS Software Library
As part of IT Support Service's increased level of Software Asset Management the old software library has been replaced with the new "ITSS Software Library."
The 'ITSS Software Library' incorporates the application of:
[1] ITSS Disc Stakkas :
These are automated units that store and administer CDs/DVDs; and
[2] ITSS Network Attached Storage (NAS) Device A collection of hard drives.
Any ECU staff member needing access to a device[s] will now be required to complete, sign and return this application form:
