Staff Account Application Guide
The following guide has been created in order to help managers and staff complete the Application for Computer System Account (Form IT#001).

Who should use this form?
This form should be used for all staff who have been assigned a staff ID in the Concept HR system. If you have not been assigned a Staff ID or are not sure of your Staff ID number, please contact the Personnel and Payroll Officer for your Faculty or Service Centre. Contact details can be found at http://www.hr.ecu.edu.au/main/html/hr_contacts.cfm.
I'm not a member of ECU Staff, how can I apply for computing accounts?
If you are not a member of ECU Staff, while you may still obtain accounts to use our network the method you use to apply may differ:
- I'm a Visiting Fellow, Adjunct Professor, Contractor, Temporary Staff, or similar:
Prior to completing this application, you must be assigned an access-only Staff ID Number. This form can be obtained from the HR Services Website: http://www.fbsc.ecu.edu.au/ss/resource/SSPP_Access.only.07.doc
Once this form has been completed and authorised by the appropriate persons, please forward it to Shared Processing Services - Joondalup Campus. Once Shared Processing has advised either yourself or your Supervisor of your new staff number, you may continue through these instructions to apply for the necessary accounts.
- I'm a visitor for a conference, workshop, training course, or other short event:
For these type of users where you need network accounts, you will need to complete the Application for Computing Account for Non-ECU Personnel. This form should be completed by a full-time member from the Faculty or Service Centre who is holding the relevant event.
This form and relevant instructions can be obtained from the Information Security website.
How do I complete the form?
There are three main sections to the form, these being;
Step A – Customer Information
This section is to be completed by the person who the account is required form. They must ensure that all details wherever possible including contract expiry date if the person is not being employed for an ongoing position.
Once all relevant details have been completed, the customer then needs to read the document: Acceptable use of Information Systems

Having read and understood the document, they are then required to sign in the relevant location to show that they accept and abide by these conditions.
You will also need to include the Service Desk ID (Located on either the Green or Yellow sticker attached to your system unit) of the computer which the customer will be primarily using.
Section B – Network/System Access Details
This section defines what accounts/systems the customer will be given/granted access to. It is important that this section is completed by the Manager for the relevant area.
Where an account is required, the Y should be circled and the initials of the completing manager be marked in the adjoining column. None of the nominated accounts will be created unless the manager’s initials appear in the adjoining column. Where access to systems not stipulated on this form is required, the manager should name these systems and write yes and initial accordingly.
What does it mean when the form asks me to specify folder/directory name(s) and not drive letters ?

To find the folder/directory name of the network drive you need access to, it is a good idea to find someone who already uses the same folder/directory you need access to. Once you have found someone using the same folder/directory, simply open up My Computer and obtain the details you need. A example of what this information looks like is included here.
Section C – Line Manager’s Authorisation
Finally, once the previous sections have been completed the line manager must sign the bottom of the form. The line manager completing this form must ensure that they include their name and telephone number so they can be contacted once the requested accounts are setup.
How do I apply for access to Callista SMS?
Previously, you would have used this process to apply for access to either ECUWES, SRS, or Janus. With the introduction of the Callista Student Management System (Callista SMS), the application process has changed.
In order to apply for access to this application, please visit;

And select the option "Apply for a Callista account".
How do I apply for access to Finance/HR Systems?
Previously, a number of core finance systems were listed on the application form for you to select. However, due to some recent changes we are no longer able to include this list.
Instead, you will now need to specify the names of the systems you need access to. A full list of finance and HR systems is available from:

Where do I submit the Application?
Once the form has been completed, the form must be lodged with the IT Service Desk. This can be lodged by either:
- Internal Mail to IT Service Desk – Mount Lawley. Please do not send the application to local campus IT Support staff, as this can result in processing delays.
- Facsimile direct IT Service Desk on (08) 9370 6858.
Once the application is received by the IT Service Desk, it will be processed as soon as possible. For Standard Accounts where all information is provided and the correct authorisations obtained, they will normally be processed and activated within 48 hours. For all other accounts, these applications are forwarded to the relevant systems administrators who will processes the request and contact you when these have been completed.

How can I change my password after receiving my accounts?
To change your password after you have received your username and password, please visit https://mylogin.ecu.edu.au/. This service will allow you to change the password for your Active Directory (ADS) account, which is used to access services including:
- Computer Login (SOE MkII/Elevation 04 Machines Only)
- Staff Email (Outlook & Outlook Web Access)
- Internet Authentication
- MyECU (Blackboard)
- EClipse (Callista)
If you need to change your password for other systems, please contact the IT Service Desk for advice on how to do this.
